Special categories of data

Means personal data consisting of information about a data subject's racial or ethnic origin, political opinions, religious or similar beliefs, trade-union membership, physical or mental health or condition, sex life. The special category includes in particular genetic data and biometric data where they are processed in order to uniquely identify an individual.

Offence data

Personal data relating to criminal convictions and offences.

The provision of this type of information is strictly voluntary. Due to the nature of our business, we do not routinely process large volumes of special category data and will consider such input to be occasional. If this is not possible, we will destroy such data and delete any copy in our possession.

Due to the nature of their business and the purposes of the data processing, the services listed here are not intended for the processing of criminal offence data (please check the Definitions and Interpretation section). If you provide any information or documents containing this type of data, you are advised that any input of such information will be at your sole risk and responsibility, we will destroy such data if we inadvertently receive it.

WHERE WE STORE YOUR INFORMATION

We take customer confidentiality and security very seriously. We are committed to protecting the personal data you share with us. We use a combination of industry standard security technologies, procedures and organisational measures to help protect your personal data from unauthorised access, use or disclosure.

The data processing consisting of hosting services (storage and maintenance of databases containing your personal data protected by a password) is carried out on our behalf and in accordance with confidentiality agreements by our authorised data processor: Hostinger and its subcontractors. The data may be transferred to and stored at a destination within or outside the European Economic Area (EEA).

Written contracts with the data processor guarantee that the requirements of the GDPR will be met and the rights of data subjects will be protected. The data processor will only act in accordance with our documented instructions, will have direct responsibilities under the GDPR and may be subject to fines or other sanctions if it fails to comply.

Upon conclusion of this agreement, the data processor will return the data to us or transfer it to another processor appointed by us and delete any copy in its possession. However, the processor may keep the data blocked to address potential administrative or legal liabilities.

Trusted partners (data processors) who work on our behalf under confidentiality agreements and may store, maintain or process your data:

We do not engage any third party data processors and all your personal data will be held and processed internally on our own secure computer storage devices and/or paper files. We use a combination of industry standard security technologies, procedures and organisational measures to help protect your personal data from unauthorised access, use or disclosure.

The payment system (Stripe and PayPal) used on our website is not our data processor and we do not collect your credit card details. Our online shop is hosted on the Hostinger hosting service. They provide us with an online e-commerce platform that allows us to sell our products and services to you.

We may use third party service providers to monitor and analyse the use of our service. This includes:

Google Analytics

Google Analytics is a web analytics service offered by Google that tracks and reports on website traffic. Google uses the data collected to track and monitor the use of our service. This data is shared with other Google services.

The add-on prevents Google Analytics JavaScript (ga.js, analytics.js and dc.js) from sharing information with Google Analytics about your visit activity. THE LAWFUL BASIS AND THE PURPOSES FOR WHICH THE PERSONAL INFORMATION IS USED

To take action at the request of the data subject before entering into a business relationship (oral or written contract):
1.1 By contacting us using the means set out in the "Personal data you provide to us voluntarily" section, we assume that the processing is necessary for the performance of the business relationship (oral or written contract) or to carry out activities prior to entering into the business relationship (oral or written contract) and therefore the lawful basis is the Agreement and our Legitimate Interests.

1.2 We will use the information you provide to operate efficiently and to do our best to respond to your request. Once you enter into a business relationship (verbal or written contract) with us, we will invoice you for our services and offer you after-sales service and loyalty where appropriate.

Special categories of data.
2.1 You may provide specific categories of data with your application. The submission of this type of information is strictly voluntary. By submitting special category data, you consent to its processing and disclosure to our customers. The lawful basis is consent and the condition for processing is Consent.

If you are a customer, we will retain your data in order to comply with our contractual and legal obligations.
3.1 We may retain your information for as long as necessary to comply with our legal obligations and in accordance with our legitimate interests as data controller after the contractual relationship between you and us has ended. The lawful basis for such retention is a legal obligation. As a data subject, you have rights relating to the maintenance, storage and processing of your personal data. To send you communications, including promotional communications and ads with your explicit consent, or to allow you to participate in interactive features of our service when you choose to do so. The lawful basis for such processing is Consent.

We do not rent, sell or share personal information about you with other people or unaffiliated companies without your consent, except when we provide products or services that you have requested, when we have your permission, or in the following circumstances:

We provide information to trusted partners who provide services to us under confidentiality agreements, as listed in the section "Trusted partners (data processors) who work on our behalf under confidentiality agreements and may store, maintain or process your data". These companies do not have any independent right to share this information.
  2. If you are a customer, we may disclose your information to third parties when we reasonably believe we are required to do so by law and to investigate, prevent, or take action regarding suspected prohibited activities, including but not limited to fraud and situations involving potential threats to the physical safety of any person.
  3. In the event that we are acquired by or merged with a third party company or there is another change in control, we reserve the right to transfer information, including any PII and non-PII, to the successor company. In such event, we will notify you by electronic means and obtain your consent before information about you is transferred and becomes subject to a different privacy policy.
